The problem with owning the fleet

A company car in Karachi looks cheap until you count what sits behind it. The purchase price ties up capital. Then there is insurance, servicing, tyres, a driver on payroll with leave and replacements, depreciation, and somebody in admin whose week is partly spent on all of it.

Monthly hire moves the whole bundle off your balance sheet and into one line item. Whether that is worth it depends on your situation, and it is not always the right answer. This is how it actually works so you can judge.

What monthly hire covers

A vehicle and a driver assigned to your company, priced across 26 working days, with one invoice a month.

Included:

• The vehicle, serviced and maintained, with a replacement of the same class if it goes in for work
• A vetted professional driver, and cover when they take leave
• Comprehensive insurance
• One consolidated invoice, however many vehicles are on the account

Agreed at the start rather than fixed:

• Fuel. Either folded into a fixed monthly figure, or billed on actual usage. Fixed suits predictable routes, usage suits variable ones.
• Hours. A standard working day, with overtime agreed in advance if your pattern needs it.
• Mileage. Relevant if the vehicle runs intercity rather than around Karachi.

Matching the vehicle to the use

Three patterns cover most corporate requirements.

Staff pick and drop. Moving a team between home and office, or to a site. The HiAce grand cabin at PKR 10,000 a day takes 13, the Coaster at PKR 15,000 takes 25. One vehicle replaces a handful of individual allowances, and people arrive together.

Executive and management. A dedicated car for one person. The Corolla Altis at PKR 6,000 or the Honda Civic X at PKR 15,000 for day to day work. For a visiting board member or a client collection, the Mercedes C180 or Audi A6 at PKR 25,000 and PKR 30,000.

Site and field work. Industrial estates, Port Qasim, Hub, anywhere the approach roads are poor. The Toyota Prado or Fortuner at PKR 15,000 have the clearance for it.

When it makes sense, and when it does not

Monthly hire tends to win when:

• You need the vehicle most working days but not every day
• Your headcount or requirement changes through the year
• You do not want a driver on payroll, with the leave and cover that brings
• You want one predictable invoice rather than a maintenance budget that moves
• You are opening in Karachi and do not want to commit capital yet

Owning tends to win when:

• The vehicle runs very high mileage every single day
• You need it branded or modified
• You already have the workshop and drivers, so the marginal cost of one more car is small

We are not going to pretend hire is always the answer. If you run a car hard six days a week for years, buying is usually cheaper. The arrangement earns its money on flexibility and on removing the administrative load.

Invoicing and accounts

Corporate accounts run on monthly invoicing rather than payment per booking. In practice:

1. Tell us the requirement: vehicles, pattern of use, how long
2. We quote a monthly figure per vehicle, with fuel treated whichever way suits
3. The account is set up and vehicles assigned, with the same drivers throughout
4. One invoice at the end of each month covering every vehicle on the account
5. Vehicles are added or removed as the requirement changes

The single named contact matters more than it sounds. Most of the friction in corporate transport is not the cars, it is not knowing who to call when something changes at short notice.
